Property Handover Form

A formal property handover form for Kenyan landlords and tenants, documenting the transfer of keys, access devices, and responsibility at the start or end of a tenancy.

What Is a Property Handover Form?

The property handover form is a brief but critical document signed when keys and responsibility for a property change hands — either at the start of a tenancy (move-in) or at the end (move-out). It confirms exactly what was handed over, to whom, on what date, and in what condition. It works alongside the detailed inventory checklist and move-in or move-out checklist.

Items to Record on Handover

Complete every field carefully. Both parties should verify each item before signing.

  • Date and time of handover
  • Names and signatures of both parties (and any witness)
  • Property address
  • Type of handover — move-in or move-out
  • Number and type of keys exchanged (itemised)
  • Access cards, gate remotes, and garage openers
  • Overall property condition summary at time of handover
  • Outstanding repairs agreed before occupation (if any)
  • Utility meter readings at handover
  • Security deposit amount paid and receipt reference

Best Practice

Keep the property handover form together with the tenancy agreement, deposit receipt, and inspection checklist in a single file. For landlords managing multiple properties, a consistent handover process reduces disputes, protects rental income, and demonstrates professionalism that attracts quality long-term tenants.
