Minutes of Return

Formally document the condition of a property when a tenant moves out.

Purpose of This Document

The minutes of return are completed when a tenant vacates the property. They are used alongside the minutes of takeover to identify any damage or deterioration beyond normal wear and tear, which may justify deductions from the security deposit.

What to Check

Use the same structure as the takeover minutes — room by room, comparing the current condition against what was recorded at the start of the tenancy. Note any damage, missing items, or cleaning required. Record final meter readings for electricity and water.

  • Note all damage beyond normal wear and tear
  • Record any missing keys, remotes, or access cards
  • Take final electricity and water meter readings
  • List any items left behind by the tenant

Deposit Deductions

Any deductions from the deposit must be itemised in writing and supported by quotes or receipts. Normal wear and tear — faded paint, minor carpet wear, small scuffs — cannot be charged to the tenant. Deductions must be communicated within a reasonable time of the tenancy ending.
