Move-in Checklist

A thorough move-in checklist for Kenyan tenants and landlords to record the property condition, meter readings, and keys on the day of occupation.

Why Complete a Move-in Checklist?

The move-in checklist — also called a property condition report — is the most important document you can complete at the start of a tenancy. It creates a dated, agreed record of the property's condition that protects the tenant from being charged for pre-existing damage and protects the landlord by documenting what was there at the start. Without it, deposit disputes are almost impossible to resolve fairly.

Room-by-Room Checklist

Walk through every room together on the day the tenant takes occupation. Rate each item: Excellent, Good, Fair, or Poor. Note specific defects in the comments column. Take photographs of every room and any existing damage, and attach them to the signed checklist.

  • Living room — walls, floor, ceiling, windows, doors, light fittings, sockets
  • Kitchen — cupboards, countertop, sink, taps, cooker/oven, fridge (if included)
  • Each bedroom — walls, floor, built-in wardrobes, windows, lights
  • Bathroom(s) — toilet, basin, shower/bath, taps, mirror, tiles
  • Balcony or terrace — floor condition, railings, drainage
  • Entrance and hallway — door locks, intercom, lighting
  • Parking space — condition, allocated bay number

Meter Readings and Keys

Record electricity and water meter readings on the day of move-in. Both parties should photograph the meters. List every key, access card, and remote control handed to the tenant. Both parties sign the completed checklist — one copy for each. This document should be kept for the full duration of the tenancy.

  • Electricity meter reading and unit number
  • Water meter reading
  • Number of front door keys
  • Number of gate/compound keys
  • Access cards or key fobs
  • Remote controls (gate, garage)
  • Letterbox key if applicable
